The trade account form: what we collect and why
When you send the trade account form we receive your business name, contact name, venue type, email address, phone number, postcode and the products you're interested in.
We use these details to respond to your enquiry and to open a trade account for you. Our lawful bases are taking the steps you ask us to take before entering into a contract, and our legitimate interest in answering trade enquiries.
Where the form goes
The form posts to a handler on our own domain (a Cloudflare Worker), which sends it as an email through Resend, our email delivery provider, to our enquiries mailbox ([email protected], hosted on Microsoft 365).
We do not store form submissions in a database; the handler keeps no copy and logs no personal data. Resend keeps a delivery record of each email, which can include its content, for 30 days, and may process it outside the UK under its data processing agreement with us.
When our online ordering app launches, enquiries will also be stored in our account system and this notice will be updated.
How long we keep it
We delete trade-enquiry emails 12 months after we receive them, automatically. If you open a trade account, the details become part of your account records and are kept for as long as you hold the account and for the period UK tax and company law requires afterwards.
The delivery postcode checker
The postcode checker on our delivery page runs in your browser. To answer, it downloads the map data for your postcode sector (the first part of your postcode, for example L1 8) from this website, like any other page asset. Your full postcode never leaves your browser and we don't link these requests to you.
Access logs
Like every website, our web server and Cloudflare, which protects it, keep standard access logs (IP address, the page or file requested, time and browser type) for security and troubleshooting. Our web server deletes its logs automatically after at most 15 days, and they are never combined with your enquiry.
Cookies, analytics and the map
This website sets no cookies of its own and uses no analytics. The map on our contact page is loaded from Google only if you press “Show map”; Google may then set cookies and process your IP address under Google's privacy policy.
Hosting
This website is hosted on a server we rent from Hetzner in Falkenstein, Germany, behind Cloudflare.
Your rights
You can ask us for a copy of the details we hold about you, ask us to correct or delete them, or object to how we use them. Email [email protected] and we will act within one month.
If you are unhappy with how we have handled your details, you can complain to the Information Commissioner's Office at ico.org.uk.
